Privacy Policy

Autumn ("we", "us") provides case notes and collaboration software for funeral professionals, available at use-autumn.com and as a mobile app. This policy explains what data we collect, how we use it, and the choices you have. We build for a profession that handles some of the most sensitive moments in people's lives, and we treat the data you record accordingly.
What we collect
- Account details — your name, email address and password (held by our authentication provider; we never see your password), and your funeral home's name and team membership.
- Case content you create — case details, typed notes, audio recordings you choose to make, their transcripts and AI write-ups, documents, calendar events and writings. This content can include personal information about deceased people and their families that you enter in your professional capacity.
- Billing information — handled by Stripe. We store your subscription status and seat count; we never see or store card numbers.
- Technical basics — logs needed to run and secure the service (such as request identifiers and error reports). We do not run advertising trackers.
How we use it
- To provide the service: storing your cases and notes, transcribing recordings, generating write-ups and drafts, and syncing between your devices and team.
- To operate billing, send service emails (such as trial and account notices), and provide support when you contact us.
- We do not sell your data, use it for advertising, or train AI models on your content.
Who processes it for us
We use a small number of service providers, each only for what the service needs:
- Amazon Web Services (hosting and storage, EU — Ireland region)
- Deepgram (audio transcription)
- Anthropic (AI write-ups and drafting)
- Stripe (payments)
How long we keep it
Your content is kept while your account is active so it's there when you need it. If you delete a note, case or your account, the associated content is deleted from our systems. You can delete your account at any time from Settings in the app.
Your rights
Under UK GDPR you have the right to access, correct, export and erase your personal data, and to object to or restrict processing. Email us and we'll help. You also have the right to complain to the Information Commissioner's Office (ico.org.uk).
Security
Data is encrypted in transit and at rest. Access within a funeral home is controlled by roles, and external collaborators only ever see the cases they're invited to.
